Guidelines for Case Studies

Purpose: The purpose of the Case Study Sessions is to provide pump users, vendors, and consultants a means of informally presenting their success stories/lessons learned at Texas A&M University’s International Pump Users Symposium. To participate, you must prepare neat presentation slides/overheads along with a short abstract.
Each invited presenter will be given 15 minutes to relate their experiences, with an additional five minutes for questions. Three or four case studies will be scheduled per 90 minute session. The abstract and the presentation will be reproduced on a Case Studies CD-ROM available to session attendees. Your Case Study will go through a further review before final acceptance is determined.

CASE STUDY ELEMENTS
Case Study presentations should contain the following elements, while limiting the number of slides, as suggested, to maintain a target of 15 minutes for the presentation and five minutes for questions.
Title: The title of the case study should be concise and definitive. The title slide should include a listing of the authors and their affiliations.
Abstract: A short abstract (maximum of 250 words) is required. The purpose of the abstract is to give a clear indication of the objective, scope, and results of the case study. The abstract should be placed behind the title slide in the hardcopy submittals.
Slides: About 15 slides are needed for the 15 minute presentation. Presentations can be composed of 35mm slides or computer driven slides. If using 35mm slides, projection equipment must be specifically requested.
GENERAL INFORMATION
Please keep in mind that the copyright laws have changed dramatically during the last few years. Copying something that has been published elsewhere is illegal, without specific permission. It is the presenter’s obligation to get legal clearance to present figures, etc., that have been published elsewhere.

We need a completed Data Form for Symposium Publications for each speaker. Please fax information on this form, as soon as possible. Remember to include phone and fax numbers, and email addresses if available. Please keep us informed of any changes in this information!
The Monitor
The Advisory Committee has assigned one of its members as your monitor. The monitor will be of significant assistance to you. You must submit your presentation to your monitor for approval before submitting to the Turbomachinery Laboratory for both the further review and the final submission. This must be done with sufficient time allowed to make any suggested changes and still meet the Turbo Lab’s due dates. We must also receive release (either written or emailed) from your monitor with your final symposium presentation.
SUBMISSION OF PRELIMINARY CASE STUDY FOR COMPETITIVE REVIEW
A hardcopy black and white printout plus a disk or CD of your final presentation slides must be submitted to the review committee for further review by October 1, 2007. If, for some reason, you cannot meet the deadline, please contact your monitor and Joanne Burnett. Submittal must be made to your Monitor for his review before submitting to the Turbo Lab for review by the entire Advisory Committee. This review will determine which Case Studies will be invited for presentation at symposium.

SYMPOSIUM PRESENTATION
Following the review meeting, the Advisory Committee will select only a few of the Case Studies to be presented at Symposium. They may recommend revisions, and those will be included in your notification letter.
Once the Case Study is accepted for presentation, you must send a diskette or CD-ROM and hardcopy printout of your Case Study for final submission. The Case Studies presented at the symposium will be reproduced on a “Case Studies” CD-ROM. We must receive two files for submission: one file must be in Microsoft® PowerPoint for PCs, and the other must be in Adobe® Acrobat for PCs. If there is a question concerning the format, please contact Joanne Burnett.
Computer driven slides must be used for Case Study presentations. The Turbomachinery Laboratory will provide the computer and LCD projector for computer driven slides. If using 35mm slides, projection equipment must be specifcally requested on the “Audio Visual Request Form.” For more information regarding this subject, please refer to the “Audio Visual Support Information” document included in this packet. Your presentation must be checked by the technician in the Speaker Ready Room at least two hours prior to presenting. The hours and location of the Speaker Ready Room are on the “Audio Visual Support Information.”
